Roles and permissions
Owner runs billing. Manager runs the day-to-day. Inspector records collections. Insurer is view-only. Every role needs a licence.
Four roles, in descending order of what they can do.
Owner
Runs the organisation, its licences and billing, plus everything a manager can do. Billing is owner-only — a manager cannot see the page at all, which looks like a bug and is not.
Manager
Runs the day-to-day: templates, sites, waste types, calibration, the monitor, the forecast and all the reporting. Can invite people. Cannot touch billing.
Inspector
Records collections. This is the role most of your people hold.
An inspector can only edit collections they recorded, and only sees templates they are assigned to.
Insurer
View-only. They can browse collections and their data but cannot record anything — the Record collection button is not there for them, and the page says so plainly.
What they cost
Every role needs a licence — there are no free seats. Your owner purchases licences and shares them across the team; only the price differs by role.
View-only is not a discount: an insurer occupies a seat exactly like a manager does. See Licences and seats.
When someone leaves
Deactivate them on Team. Access stops immediately and their licence is released for someone else.
Deactivate rather than delete: the collections they recorded stay attributed to them, which is exactly what your audit trail needs.
